Respect for your personal information is your right and our duty. Our Privacy Policy
explains to you our approach to managing your personal information. If you have any
questions in relation to privacy, feel free to contact our Privacy Officer on (08) 8218
4911. We are bound by the Privacy Act 1988 and the National Privacy Principles.
We collect personal information about you in order to provide you with the products
and services that you request. In most instances, we collect your personal information
from you when you fill out an application form or personal statement, but we may
also collect information from you which you provide to us over the telephone or
internet. In some situations, we may collect your personal information from a third
party such as your financial planner, adviser, health professional, accountant
or another organisation with which we have an arrangement for the promotion and sale
of products and services offered or distributed by us.
The type of product or service you request will determine the type of personal
information we collect. For example, we may need to collect lifestyle information
about you to provide you with products and services as part of a comprehensive
financial plan. On the other hand, this type of personal information may not be needed
when providing you with an isolated financial product or service.
When we have collected your personal information, we use it to provide you with a
product or service appropriate to your needs. For example, your lifestyle information
may be used to tailor solutions to your changing financial needs. Your financial
information may be applied to products and services we provide you with or
administer for you.
We may disclose your personal information to a number of our related bodies
corporate that assist us in providing you with products or services.p>
We may also disclose some of your personal information to external organisations
who help us administer the provision of the products or services to you. Examples are
where your financial planner, adviser, or accountant works with us to provide
products and services to you, or where we use mailing houses to send you your annual
statements.
Like other financial services companies, there are situations where we may disclose
your personal information in circumstances where it is:
- required by law (such as to the Australian Tax Office) and
- authorised by law (such as where we are obliged to disclose information in the
public interest).
We may also use your personal information to keep you informed of new products or
special arrangements offered or distributed by us. Again, when conducting our
marketing activities, we may disclose some of that information to our service
providers.
Your information is stored in our computer administration systems or in hard copy
files. We employ a number of mechanisms to protect the security of your personal
information. These mechanisms include:
- confidentiality agreements with all staff and third party service providers
- physical security barriers such as secured storage of files and restricted building access
- computer system protection devices such as encryption programs and password technology
- detailed privacy training for all staff.
A full description of our internet terms of use is also available on this web site.
We rely on the accuracy of the information you provide to fulfil your needs and
protect your information. If you think that we hold information about you that is
incorrect or out of date, you may contact us as set out below and, at your request, we
will take reasonable steps to correct it. If we decline to correct our records for any
reason, we will provide you with details of those reasons.
Under the National Privacy Principles, you are generally entitled to access your
personal information held in our records. If you wish to do so, for security reasons,
please complete our 'Request to Access' Form. This will assist us in confirming your
identity and will also assist us by identifying your account number(s) and the type of
information which you are requesting access to.
A Request to Access form is available by contacting us at the address below.
Once a signed form is received at one of our offices, and you are entitled to access the
information, we will locate the information and make arrangements to give you
access.
We reserve the right to charge for the reasonable costs associated with providing that
information. However, we do not impose a charge for lodging a request to access
information. To access your personal information held by our related companies, you
should approach those companies directly in the first instance and advise us that you
have done so. Similarly, in the event that you wish to access personal information
held by your adviser, you should approach that adviser directly.
We will try to provide you with the information you request as soon as possible. The
time required to access will depend upon the type of information you request. In
certain circumstances, you may not be entitled to access the personal information we
hold - for example, if providing you with access would unreasonably interfere with
the privacy of others. If this happens, we will provide you with reasons for that denial.
Requests for access, or for further information about how we manage the personal
information we hold, should be directed in the first instance to the Australian
Executor Trustees Privacy Officer at the address below.
